ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Constant monitoring of the Facilities inbox and Vixxo portal to vet, qualify and authorize work of the Facilities Maintenance Vendors.
- Remotely assists with all departmental needs.
- Enter all preventative maintenance contracts, as required by lease, and other vendor contacts in CoStar.
- Monitor response times and communicate with vendors to ensure quality work performed within expected time frames.
- Receive and distribute all mail received for various departments, including scanning to send to remote staff or others.
- Responsible for all shipping and receiving, including UPS, FedEx and any other shipments received or needing to be shipped. This includes receiving and reshipping hearing aids and supplies inadvertently shipped to the Facilities Room located in Tampa.
- Provides UPS labels and supplies, when requested.
- Maintains all facilities related supplies, including copy supplies, hearing aids, models, equipment, postal items, UPS items, etc. • Provides assistance to subtenant in Palm Beach Gardens, remotely, when needed.
- Communicate with Landlords and Property Managers regarding any issues for which they are responsible, roof access when needed or any required landlord approvals. Maintain Property Manager spreadsheet in Teams.
- Monitor the COI inbox and request and send all COIs as needed.
- Enter PO requests within B.C. system to generate PO's.
REQUIREMENTS:
- Facilities maintenance or Property Management experience is helpful. CoStar knowledge is helpful, but not required. Shipping and Receiving experience is helpful. The ability to perform minor repairs is also helpful.
- Multitasking, the ability to prioritize the most pressing tasks, Microsoft program knowledge.
